This policy explains what personal data we collect, why we collect it, how we use it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. What we collect and why
RecruiterHQ is currently in a pre-launch phase. At this stage, the only personal data we collect is through our waitlist signup form on our landing page.

We do not collect your name, company, job title, or any other personal information through the waitlist form. We do not use tracking cookies, analytics tools, or advertising pixels on our landing page.
2. How we store your data
Your email address is stored securely in a database hosted by our infrastructure provider. Data is encrypted at rest and in transit using industry-standard encryption (AES-256 and TLS 1.2+).
We retain your email address for as long as you remain on the waitlist. You can request removal at any time (see Section 5 below).
3. Who has access to your data
We share your data only with the following third-party service providers (“sub-processors”) who are necessary to operate the waitlist and landing page:

Where data is transferred outside the UK, we ensure appropriate safeguards are in place in accordance with UK GDPR, including Standard Contractual Clauses (SCCs) or equivalent adequacy mechanisms.
We do not sell, rent, or share your email address with any other third parties. We do not use your data for advertising or profiling.
4. What we send you
If you join our waitlist, you may receive:
- A confirmation that your signup was received
- An invitation when RecruiterHQ is ready for beta access
- Occasional product updates about RecruiterHQ’s development (no more than once per month)
Every email we send includes an unsubscribe link. Clicking it removes you from all future communications and deletes your email address from our waitlist within 7 days.
5. Your rights
Under the UK GDPR, you have the following rights regarding your personal data:
- Right of access — You can request a copy of the personal data we hold about you.
- Right to rectification — You can ask us to correct inaccurate data.
- Right to erasure — You can ask us to delete your data at any time. We will comply within 30 days.
- Right to withdraw consent — You can unsubscribe from the waitlist at any time via the link in any email, or by contacting us directly.
- Right to lodge a complaint — If you are unhappy with how we handle your data, you have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

6. Cookies
Our landing page uses only essential cookies required for the website to function (for example, to process your waitlist signup). We do not use analytics cookies, advertising cookies, or any third-party tracking technologies.
7. Future changes
When RecruiterHQ launches as a product, this policy will be updated to cover the additional personal data processed by the platform (including email content, calendar data, and applicant tracking system data). We will notify all waitlist subscribers before any changes to this policy take effect. The updated policy will be available at this URL before any new data processing begins.
We will never begin processing additional categories of personal data without updating this policy first and, where required, obtaining your explicit consent.
